About the role

We are seeking a talented and experienced Property Developer Credit Admin Assistant Manager/Manager to join the dynamic team at PINNACLE HOMES Groups of Companies in Subang Jaya, Selangor. This full-time role will play a crucial part in overseeing the credit administration processes for our property development projects, ensuring efficient and effective management of customer accounts and financial records.

What you'll be doing

  • Manage and maintain the company's credit administrative policies, procedures and systems

  • Review and approve credit applications, monitor customer accounts, and implement effective credit collection strategies

  • Prepare and analyse credit reports, financial statements, and other relevant documentation to support decision-making

  • Liaise with customers, sales teams, and other departments to resolve credit-related issues

  • Oversee the work of the credit administration team, providing guidance, training, and performance management

  • Contribute to the development and implementation of credit risk management strategies

  • Ensure compliance with relevant laws, regulations, and industry best practices

  • Handling and responsible for the collection, other application and all relevant are up to date to recover arrears, processing of all outgoing payments, preparation and control of budgets, procurement and maintenance of adequate coverage and all others related matters

  • Assists Senior Marketing & Sales Manager to organise and maintain office administrative works in order to ensure smooth running of the departmental operation

  • Oversees Credit Administrative functions and assist in Sales & Marketing activities such as sales launching and road show or exhibition (if any)

  • To generate Monthly Forecast of Billing & Collection Report and Monthly Billing & Collection Report for management

  • Attends to calls & enquiries from prospects, purchasers, End-Financier, Solicitors and Intra Department co-ordination

  • Handles in-coming & out-going correspondences e.g. letters, faxes & memos in the department

  • To ensure all purchaser records to be updated into IFCA system promptly

  • To issues memo to Finance Department upon receiving Letter of Request for Refund from Purchaser after obtaining consent from the Management

  • To issues letters to Purchasers and generate credit note through the system upon approval by Senior Sales & Marketing Manager

  • To issue letter of undertaking and differential sum letter to end-financier’s solicitor upon receiving the loan approval notice

  • To ensure to receive Purchaser duly signed Loan Agreement or Assignment & other relevant loan documents from end-financing Solicitor for Director execution

  • To check and return the executed relevant Loan documents to Purchaser End-Financing Solicitors

  • To generate progress billings to Purchaser or End-Financier upon receiving Architect Certificate from Project Department

  • To issue Official receipt to the respective parties upon receiving the payment for the billing issued

  • To issue reminders on non-payment billing to respective Purchaser and subsequent the Notice of Termination to Purchaser of defaulting the payment

  • To notify Purchaser on the completion of the Project and assist in the handover key to the Purchaser

  • Maintaining and storing documentation effectively

  • To undertake any other duty and responsibilities as so instructed by the authorized personnel of the company from time to time

What we're looking for

  • Tertiary qualification least Bachelor’s Degree in Business Administration/Property Management or related field equivalent is preferred

  • Minimum 5 years of working experience in a similar credit administration and/or property development role and/or property development industry or equivalent

  • Strong understanding of credit management principles, including credit analysis, risk assessment, and collection strategies

  • Excellent financial analysis and reporting skills, with the ability to interpret financial data and make well-informed decisions

  • Proficient in using relevant software and systems for credit management and reporting, ie. IFCA and microsoft office applications

  • Excellent communication and interpersonal skills, with the ability to liaise effectively with customers and internal stakeholders

  • Proven leadership and team management experience, with the ability to motivate and develop a team

  • Proficient in written and spoken in English, Bahasa Malay and Mandarin to effectively communicate with especially Mandarin-speaking stakeholders internally/externally. Ability to communicate local dialects with all levels of stakeholders internally/externally would be an added advantage

  • Good interpersonal and negotiation skills is a must

  • Able to work under pressure

  • Able to work under minimum supervision with strong sense of responsibility

  • Demonstrated strong customer service skills, effectively addressing customer issues and controlling business impact

  • In-depth understanding of the real estate industry, including laws, policies and best practices

  • Advanced marketing skills

  • Personable, professional outgoing

  • Good organization, project management and time management abilities

  • Great customer service skills

  • Efficient problem-solving skills

  • Effective communication skills, including verbal and written communication
