Executive Assistant to COO

Responsibilities

• Prepare reports, presentations, and proposals related to marketing campaigns, and business operations.
• Act as a liaison between departments, facilitating communication and collaboration between engineering, marketing, and other teams.
• Conduct research and analysis to support business strategies, technical developments, and market trends.
• Provide high-level administrative and operational support to senior management, ensuring smooth coordination across engineering and marketing functions.
• Assist in handling customer or client communications related to technical and marketing matters.
• Processes incoming and outgoing mail/materials for the Chief Operating Officer.
• Prepares agendas, sends notices and attends meetings and work sessions for the purpose of providing information, recording minutes, and supporting the needs for other attendees.
• Assist in liaison with potential investors and ground arrangements for foreign investors.
• Coordinate meetings, events, and conferences, including preparing agendas and recording minutes.
• Manage correspondence, emails, and inquiries, ensuring timely responses and follow-ups.
• Undertake any other duties and responsibilities as assigned by the management.

REQUIREMENTS

• Diploma/Degree in Engineering or Marketing or equivalent qualifications
• Min 3 years of relevant working experience in the related field is preferred
• Proficient in MS office (Excel, Word especially)
• Strong interpersonal skills, good team player and willing to learn
• Strong planning, organizational, and time management skills, able to proactively determine priorities and appropriate sequencing
• Able to work independently with minimum supervision
• Required Language(s): English, Bahasa Malaysia & Mandarin.
